Getting Involved

We use this blog for status reports, project announcements, and the occasional policy debate. Everyone is welcome and encouraged to comment on posts and join the discussion.

You can learn about our current activities on the Team Projects page. There projects are suitable for everyone from newcomers to WordPress community elders.

You can use our contact form to volunteer for one of our projects.

Communication

In addition to discussions on this blog, we have weekly Office Hours on Tuesday 20:00 UTC 2015 and Thursday 20:00 UTC 2015 in the #events channel on Slack for real-time communication.

    More new volunteers, yay! 

    We made a second call for community volunteers a few weeks ago, and I’m excited to say that we’ve got another group of wonderful people joining the team of deputies!

    Our goal is to bring in new rounds of volunteers on a monthly basis, so if you’re interested but busy until a couple months from now (or until the new year), don’t despair! Our doors will remain open to helpers. :)

    Donated by employers:

    • Hugh Lashbrooke will be contributing 8 hours a week courtesy of Automattic.
    • AJ Morris will be contributing 4 hours a week as part of his job at LiquidWeb.

    Committing their personal time:

    • Thomas Bruehl will contribute 2 hours a week.
    • Guga Alves will contribute 1 hour a week.
    • Kathy Drewien will contribute 1 hour a week.
    • Andrew Wikel will contribute 1-2 hours a week.
    • David Bisset will contribute 1-2 hours a week.

    Additionally we have some experienced WordCamp organizers who have been quietly mentoring other WordCamps that I’d like to both acknowledge (and make sure they have all the access to things that other deputies have):

    • Richard Archambault is currently mentoring WordCamp Mexico.
    • Eric Hitter is currently mentoring WordCamp Austin.
    • Jeffrey Zinn is currently mentoring WordCamps Vegas, Sacramento, and Boston (2016).

    What’s the next step?

    • send all new volunteers the Deputy Agreement
    • add all new volunteers to central.wordcamp.org, support.wordcamp.org, Polldaddy, and this blog as authors
    • add all new volunteers to the all the Google docs that deputies can access
    • add all new volunteers to the Deputy Training spreadsheet so we can start tracking their training
    • assign each new volunteer a training buddy. If you feel you are comfortable enough with triaging tickets and sending swag to walk someone through the documentation on those tasks, show them how you do it, and then watch them complete those tasks, you are qualified to train! Please let me know if you are willing to buddy up with a new volunteer, and/or I’ll start reaching out to practicing deputies to connect them with new folks. :)
    • schedule some orientations for new volunteers as well as quick training sessions on triage, swag, and vetting applicants for late next week.

    We’re so grateful for our longtime volunteers as well as our new ones! It’s great to work with each and every one of you to make the WordPress community a friendly, inclusive, and vibrant group.

    Payments and contracts needed September 14-18? 

    Andrea, Cami, Jen, and Josepha will be on our yearly support rotation the week of September 14th and will not be carrying out our normal duties. For the most part things will continue to run smoothly but a few items will be impacted. If you will need a payment, contract, or insurance certificate for your WordCamp anytime between September 12-20th please submit the request no later than Thursday September 10.

    The Tuesday and Thursday Office Hours with Josepha and Cami will also be canceled. If you have any questions let us know, sooner is better than later.

    Want to practice vetting? Here’s your chance! We’ve got a small backlog of applications that could use the eyes of our deputies. If you’ve already been trained on vetting and interview/orientations, please have at it!

    If you’ve been trained on vetting but you’re not ready to do interview/orientations on your own, this is a great chance to practice. Research the applicant based on this handbook page and then leave a note on the application with your findings and recommendation (should we move forward with the applicant or not).

      Had a mentorship check-in call with Jacksonville. They’re searching for a venue because things fell through with the place they thought they could get for free.

      So we talked venue search, which many of you might know I can do FOREVER… Discussed community centers, public high schools, trade schools, theaters, community colleges, public buildings, fairgrounds, etc. We walked through the budget template as well. We’ll meet in another 2 weeks to discuss their progress!

      I had a mentorship check-in with the Rhode Island team; their WordCamp is at the end of this month.

      Speakers have been announced, and fundraising is getting close to being done. All swag and badges are designed. Ticket sales are just about 50, but now that the speakers and schedule have been announced, they expect things to pick up. They’re planning a volunteer orientation but noted they still needed to go through their list of volunteers, though they were sure they’d have enough. Tom Beach from the Boston community volunteered to do their video. (Thanks Tom!) Party locations are set. I made the following suggestions:

      • recruit 2-3 backup speakers
      • remember to get the speakers to sign an AV release
      • remind speakers you’ll want to review their slides 2 weeks before the event
      • make a list of volunteer jobs (include someone to be in charge of code of conduct issues) and recruit an extra 25% of volunteer labor
      • set up a site visit at the venue a week or so ahead of the event and make notes about where you need to put additional signage
      • start a running list of things you need to tell attendees, both in the before-event email and in opening remarks
      • mention the local meetup and code of conduct in the opening remarks

      I also mentioned some “nice to haves”:

      • set up some peer mentoring opportunities for speakers
      • encourage/recruit speakers to write a short post for the WordCamp blog about their session(s)
      • get t-shirt folded/rolled/organized at the volunteer orientation

      They’re on track but we agreed to meet weekly between now and WordCamp because things are happening faster these days. :)

      Weekly Omaha Mentorship

      • My Concerns:

        • Low number of ticket sales given the time remaining (food, tshirts, cost per attendee is excessive, etc)
        • Still need a few speakers
        • Delegating tasks to other organizers doesn’t seem to be helping speed things up like it should
        • Scheduled additional mentor call for this week

      • Worked with WC Croatia on issue with WifI. Was venue sponsored, but that fell through. They have enough money raised via local sponsors to cover, so added to their budget and made note.
      • Attempted to create WC SanDiego PollDaddy. Issues occured and have pinged @andreamiddleton

      I was on vacation last week! Catching up today, I did this stuff:

      • reviewed a Polldaddy issue in which San Diego had no access to their account; confirmed they had been invited to join the WordCamp “corporate” account and just needed to recover the password connected to the WordPress.com sandiego@wordcamp.org account to access the Polldaddy account. :)
      • replied to Flynn of WordCamp Vancouver to schedule a debrief meeting
      • scheduled a WordCamp Jacksonville check-in
      • the contract that Berlin sent to support@wordcamp.org was eaten by SupportPress; asked for a copy to go to my personal wordcamp.org email address so I could get that signed
      • the Birmingham WordPress meetup group had a question about referencing/promoting non-meetup organized developer trainings to the meetup group; I told Andrew that our current practice is to mention non-affiliated events of interest in posts on the discussion boards and verbally at meetups, but not to include them as scheduled events on the actual meetup.com page
      • connected Thomas in Cologne with Petya regarding EU camera kits
