Event Period Local Staff Positions

If you are locally based in the Event Host City/Cities/Country during the 12 month period prior to the Event, legally entitled to work in Host Country, have a strong customer service aptitude and would like to be an integral part of the success of our clients and guests’ experiences at these global mega-events, you may be a match for a local staff position.

Client Services: Program Host/Hostess; Program Hotel Hospitality Staff; Hotel Guest Relations Staff

Program Host/Hostess:

In this role you are responsible for the safe and comfortable transport of program guests to and from their daily activities as the program schedule dictates. While en route, the hosts/hostess provides Event specific knowledge, host city knowledge and information on the logistics to the guests. The role will involve being with guests from early morning until the late evening , during this time they are to respond to guests needs and requests and ensure that they have an outstanding hospitality experience.

Program Hotel Hospitality Staff:

In this role you are responsible for maintaining the hotel hospitality suite including but not limited to making sure that it is a comfortable environment, maintaining a neat and organized hospitality desk and acting in a concierge capacity to the program guests. In addition, a hospitality staff person’s role could involve opening or closing the suite, ensuring that all guest communication is up to date, maintaining a guest request log, auctioning items and communicating/updating guests and program management accordingly, managing gift inventory and maintaining accurate hospitality and program related information at the hospitality desk.

Hotel Guest Relations Staff:

In this role you are responsible for making sure that the CoSport Guest Relations desk and/or office is a comfortable environment, maintaining a neat and organized desk and acting in a concierge capacity to guests. In addition, guest relations staff roles could involve opening or closing the desk/office, ensuring that all guest communication is up to date, distributing program materials/event tickets, maintaining a guest request log, supporting guest check-in and guest arrivals, maintaining and imparting accurate event and host city related information at the desk.

CoSport Customer Services:Customer Care Representative (Front of House ticket collections and call centre)

Customer Care Representative:

In this role you are responsible for working closely with the Customer Care Managers and Ticketing Managers to assist in the operational aspects of front of house ticket collection and customer call centre. Your responsibilities will include in-person distribution of tickets, resolving customer issues, and handling day to day enquiries by phone and email with a customer service focus.

Meet and Greet: Airport/Rail Meet and Greet

Airport and Rail Meet and Greet:

In this role you are responsible for meeting and greeting all our clients and their guests upon arrival into the host city and providing them with their first interaction with Jet Set Sports and CoSport. Your responsibilities will include maintaining the most up-to-date information of arrival times, locations and any changes or delays. Meet the guests in the specified arrivals area, assist with luggage and direct them to the relevant transport. You will also be required to liaise with airport/rail or venue staff, Jet Set Sports/CoSport program managers, vehicle and coach drivers and transportation staff to ensure the smooth operation and movement of our guests upon arrival.

  • Typical candidates include destination management staff, hotel front desk/concierge, event and tour guide staff, airport meet and greet staff

Transportation: Transport Coordinators

Transport Logistics Staff:

In this role you will work closely with the Transport Managers in managing the day to day logistics and management of transport and people movements at various locations. Often based outside at the airport, the event venues and hotel locations, responsibilities include communicating with venue and transport event staff and volunteers, our drivers, management of staff, directing guests. You will also be required to direct vehicles, coaches and people within and around venues, whilst maintaining a high level of service, efficiency and awareness.

Drivers: Professional Executive Drivers: Guest Drivers;

Professional Drivers:

In this role you are responsible for transporting our guests in our vehicles in a safe and timely manner. Your responsibilities include airport and hotel pick up and drop off, assisting with luggage and ensuring you have the correct signage and information for guest collection. You will drive guests to and from various venues, meal functions and host city locations in accordance with their planned itineraries, whilst maintaining ongoing communication with our Transport Operations centre and Jet Set Sports/CoSport client managers. You will be responsible for maintaining the vehicle you are driving and the technology tools for directions, traffic reports and key information.

  • Typical candidates include private hire drivers; chauffeurs; taxi drivers

Position Requirements:

  • Experienced professional drivers
  • 5 years minimum driving experience preferably based in the Host City
  • Experience with guest/customer interactions, including the professional and safe pick-up and drop off from Airports, Hotels, and all program related locations/destinations

In this role you are responsible for supporting the on-site Jet Set Sports/CoSport Hospitality Manager and Food & Beverage Manager. Responsibilities include guest welcoming and access screening, hosting guests and providing them with outstanding customer service within the Jet Set Sports/CoSport Hospitality Lounge

Ticket Fulfillment Staff:

In this role you are responsible for working closely with the Ticketing Manager and/or CoSport Customer Care Manager to assist in the operational aspects of ticket sales to the General Public and Corporate Clients. Your responsibilities will include accurately allocating, fulfilling and distributing ticket orders via shipping and collection, liaising and resolving ticketing issues and handling additional day to day ticketing back of house operations.

  • Typical candidates include ticketing agency staff, theatre, events and tourist site ticketing staff, customer service and retail staff

Office Administration Assistant, including Front Desk Reception:

In this role you are responsible for assisting the Operations Manager in the day to day administration of our Operations Centre. You will be working with varied levels of Management, interacting with high value clients and our employees. Your responsibilities include providing Front Desk reception services, including telephone switchboard, deliveries and guest services management; Assisting Executive management with administrative functions; Meeting and Greeting clients and guests among many other aspects. In addition you will be involved with Guest Gifting programs and Staffing Uniforming operations.

Event Period + Pre-Event Management Positions

If you have significant event or senior project management experience and have a background in the hospitality industry, you may be a match for a management position. Management-level positions may involve work in the months or weeks preceding the Event period and will include the Event period.

Client Services: Program Managers; Assistant Program Managers; Program Transport Managers

Program Managers:

In these roles you are completely responsible for the successful and seamless execution of the client hospitality program/s on-site during the period of the Event. The Program Manager is also responsible for managing, training and scheduling all of their dedicated on-site team members, liaising with the Jet Set operational departments, interfacing with the program hotel staff, being the primary client contact and troubleshooting any on-site challenges that arise.

Some positions may require pre-event planning work. While not a pre-requisite, consideration may also be granted to candidates who have a background in pre-event planning.

Assistant Program Managers:

In this role you are responsible for providing assistance and support to the Program Manager which may include managing functional areas for the program such as transportation, food and beverage, hotel operations, and managing staff. The Assistant Program Manager’s role will also be ensuring a successful and seamless execution of the client hospitality program/s on-site during the event.

Program Transport Managers:

In this role you are responsible for providing assistance and support to the Program Manager managing functional area of transportation for the program. This will include the scheduling and management of the vehicle assets, drivers and staff to ensure the guests are safely and efficiently taken from destination to destination. Liaising with the Transport Operations Team to ensure all venue, road and traffic information is up-to-date and shared with the Program Team. The Program Transport Manager’s role will also be ensuring a successful and seamless execution of the client hospitality program/s on-site during the event.

Position Requirements:

  • >Experienced in full service event management
  • Experience running medium to large scale multi wave/day events, with 50 to 200+ guests per wave
  • Experience managing event components including accommodation, transportation, food and beverage, collaterals, gifting, staffing etc.
  • Professional with a strong leadership ability
  • Able to manage, train and schedule on-site staffing teams with varied skills and experience levels
  • Strong written and verbal communication skills
  • Strong computer skills including a high proficiency working with Microsoft Office suite and Outlook to produce documents, reports and emails
  • Quick thinking, with an ability to work well under pressure and multi-task

CoSport Customer Services: Operations Managers; Customer Care Managers

Operations Manager:

In this role you are responsible for the successful and seamless execution of the guest experience on-site during the period of the Event including support to CoSport Operations, Program and Hotel Managers This includes but is not limited to ticketing management, guest registration, accommodations management and customer services for assigned market channels. Operations Managers will liaise with the CoSport and Jet Set Operational departments, interface with the hotel staff, and be a key contact for Program and Guest Relations staff troubleshooting any on-site challenges that arise.

Some positions may require pre-event planning work. While not a pre-requisite, consideration may also be granted to candidates who have a background in pre-event planning.

  • Typical candidates include event managers, tour/travel managers, transport specialists, meeting planners, account manager and team leaders.

Position Requirements:

  • Experienced in customer care, customer relations and event management

Customer Care Manager:

In this role you are responsible for working closely with the Ticketing Director and CoSport Customer Service Manager to assist in the day to day management of Ticket Collection Centre and call centre operations of the General Public. This position also requires the management of front of house customer care staff at ticket collections or within the call centre. You will have a strong customer focus liaising with departments in issue resolution, collection queues, complaints and other daily inquiries.

  • Typical candidates include ticketing agency, large events, theatre and tourist site ticketing managers; collection centers, call centre or customer retail managers

Position Requirements:

  • Preferred experience with handling tickets and/or running a ticket collection operation
  • Experience in handling multi-channel communication including in person, email and phone
  • Experience managing staff and developing and managing shift assignments
  • Experience with management of Front office sales and cash management and administration
  • Professional attitude with strong leadership and teamwork abilities

Transportation: Transport Operations Managers

Transport Managers:

In this role you are completely responsible for the successful and seamless management of day-to-day operations for client and guest transportation. Each transportation manager will be responsible for designated area/s of operation that can include: Airports, Rail Stations, Event Venues, Hospitality and Hotel Locations, Vehicle and Coach Management including dispatch. Tasks could include managing ingress and egress of coach and/or vehicles for designated locations; management of movement, safety and security for large ceremonies and events including developing logistics plans; management of receipt, delivery and maintenance of vehicles with included technology; providing leadership to the local staff and/or drivers (coach/vehicle) within each operational area, liaising with Client Program Managers or clients to ensure successful delivery of transportation operations.

  • Typical candidates include dispatchers, transportation leads and DMC employees.

Position Requirements:

  • Experience in working within a fleet vehicle based environment, managing drivers and multiple locations with ability to multitask at the same time.
  • Experience running dispatch for a DMC company and/or a large program with multiple transportation movements.

Position Requirements:

Position Requirements:

  • Experience working in 4 or 5 star hotel operations

Ticketing: Ticketing Operations Managers

Ticketing Manager:

In this role you are responsible for working closely with the Ticketing Director to assist in the day to day management of ticket sales to our designated consumer regions and Corporate Clients. This will include the ticket inventory management and fulfillment and ticket shipments and collection as well as liaising with Customer Care Team in ticket issue resolution.

  • Typical candidates include ticketing agency, large events, theatre and tourist site ticketing managers; collection centers, or customer service and retail managers

Position Requirements:

  • Preferred experience with handling tickets and/or running a ticket fulfillment and distribution operation
  • Experience in sales, marketing or sports marketing background and customer experience management
  • Experience managing staff and developing and managing shift assignments
  • Experience with management of Front office sales and cash management and administration
  • Professional attitude with strong leadership and teamwork abilities
  • High attention to detail, excellent analytical, writing, organizational, and research skills
  • Excellent written and verbal communication skills with the ability to clearly communicate
