Call for Organizers

Thank you for your interest and wiliness to join the organizing team for WordCamp US 2019! If you could fill out the form below, someone will contact you shortly!

Organizing any WordCamp is a tremendous undertaking, and WordCamp US is no different. We need some amazing members of the WordPress Community to join us. We’re looking for committed folks with WordCamp planning experience to join the following teams:

Sponsor Team

As we all know, WordCamps aren’t possible without sponsors. With a camp as large as WCUS, there are tons of sponsors to recruit and coordinate with. As a member of the sponsors team, you can expect to:

  • Help recruit sponsors
  • Organize sponsor applications
  • Vet potential sponsors
  • Invoice sponsors using the the tools in the WordCamp website backend
  • Communicate regularly with sponsors
  • Report on progress to Sponsor Team Lead

During the event, you can expect to:

  • Ensure that sponsors have everything they need for their booths
  • Ensure that sponsors set up and tear down their display(s) in a timely fashion
  • Ensure that sponsors and their booth respect the guidelines set forth for participation in the event

Facilities & Logistics Team

The facilities and logistics team is looking for volunteers with interest in the following areas:

Logistics Wrangler

Do you think in schematics? Do spreadsheets make you happy? The logistics team is the right place for you!! As a member of the logistics team, you can expect to:

  • Coordinate with event venue staff and caterers
  • Coordinate delivery of items to the event venue
  • Coordinate with event hotel
  • Report on progress to Facilities & Logistics Team Lead

During the event, you can expect to:

  • Communicate with venue staff and caterers as needed
  • Coordinate sponsor load in/load out alongside sponsors team
  • Communicate with the event hotel

Special Events Wrangler

Do you love planning events for people to mingle and network? We have a position for you! Our Facilities & Logistics team is looking for a person to be the main point of contact for our volunteer party and afterparty. As the Special Events Wrangler, you can expect to:

  • Coordinate with volunteer party venue staff and caterers
  • Coordinate with afterparty venue staff and caterers
  • Report on progress to Facilities & Logistics Team Lead

During the event, you can expect to:

  • Communicate with volunteer party venue staff and caterers as needed
  • Communicate with afterparty venue staff and caterers

Speaker Team

Another important part of WordCamps are our speakers. During the course of the next several months, we must recruit and then sort through hundreds of speaker applications to find the perfect mix of people to speak at WCUS 2019. As a member of the speakers team, you can expect to:

  • Help recruit speakers
  • Organize speaker applications
  • Review speaker applications
  • Vet speaker applicants
  • Communicate with potential speakers throughout the speaker call process
  • Schedule speakers
  • Collect information, paperwork, and slides from speakers
  • Report on progress to Speaker Team Lead

During the event, you can expect to:

  • Ensure speakers have everything they need and are where they should be for their session
  • Fix speaker scheduling issues

Volunteer Team

At the heart of every WordCamp is an army of volunteers. With a camp as large as WCUS, we have hundreds of volunteers that need wrangling. As a member of the volunteer team, you can expect to:

  • Help recruit volunteers
  • Organize volunteer applications
  • Vet volunteer applicants
  • Schedule volunteers
  • Communicate regularly with volunteers
  • Report on progress to Volunteer Team Lead

During the event, you can expect to:

  • Train volunteers
  • Adjust volunteer schedule as needed
  • Step in to cover volunteers as needed

Design Team

The design team is looking for volunteers with experience in the following areas:

Design Wrangler

Behind every site, badge, sign, or swag item is a designer. We’re looking for someone to join our design team. As a member of the design team, you can expect to:

  • Design collateral to meet the needs of the various WordCamp planning teams
  • Report on progress to Design Team Lead

During the event, you can expect to:

  • Produce any last-minute signage that may be needed

Print Wrangler

With every WordCamp comes an enormous of things that need to be printed – badges, signs, swag and more. We’re looking for someone to join the design team to coordinate with our print vendors. As the Print Wrangler, you can expect to:

  • Obtain quotes from potential print vendors
  • Communicate with print vendors to learn about design file requirements
  • Coordinate files and order requirements with designers and communicate to print vendors
  • Report on progress to Design Team Lead

During the event, you can expect to:

  • Coordinate any last-minute printing needs
  • Coordinate the recycling of leftover signage

Marketing Team

An amazing team of marketers is what takes an event from a good event, to a GREAT event. As a member of the marketing team, you can expect to:

  • write blog and social media posts in the tone of WCUS
  • monitor WCUS social media for questions/comments/issues
  • Respond to questions/comments/issues on WCUS social media
  • Coordinate with other organizers to get their blog/social media content posted
  • Report on progress to Marketing Team Lead

During the event, you can expect to:

  • Train social media volunteers on best practices for covering sessions
  • Help cover the event using social media
  • Help monitor social media channels throughout the event
  • Respond to social media questions/comments/issues throughout the event

Contributor Day Team

Every year at WordCamp US, we host a Contributor Day. During this day, the various teams from the WordPress project get together to work on ongoing projects, and give first time contributors an opportunity to get their feet wet in an area that interests them. The contributor day team is looking for someone with experience contributing to WordPress to help organize Contributor Day. As a member of the Contributor Day team, you can expect to:

  • Connect with the various contributor teams from the WordPress community projects
  • Coordinate with the venue logistics team to make sure that the contributor teams needs are met

During the event, you can expect to:

  • Communicate with the contributor teams to meet any last minute needs
