Census & payment deadlines

Check important enrolment and payment deadlines for your course.

Dates differ according to these criteria:

  • year level - First Year Model students have different dates to other University students
  • course type - Higher Education dates differ from VE/TAFE dates
  • semester or trimester terms - most Higher Education courses are delivered in 'semesters'; the exceptions are Sydney students and Postgraduate College of Business students
  • domestic or international - First Year Model students should check differences for international students.

 

Check these important dates for your course:

  • Tuition-payment due date: last date for you to pay your fees upfront to avoid a late payment penalty of $155.
  • Administrative census dates: deadline for adding units.
  • Census dates: last day to finalise your enrolment (including withdrawal or delays), defer fees, add units with College approval, or finalise payments to avoid enrolment cancellation.

Census dates

Census date is the last day to finalise your enrolment for each relevant study period to:

  • defer the Student Services and Amenities Fee (SSAF) (for eligible HE students only) by submitting a Request for SA-HELP loan (available from VUHQ) and providing your Tax File Number (TFN) - you will be required to apply for SA-HELP once per course.
  • submit a Request for Commonwealth assistance form per course (for eligible HE students only) to access a Commonwealth Support Place or HELP loan and provide your TFN if eligible
  • withdraw from units
  • apply for intermission
  • discontinue from the course
  • add units with College approval.

Note: If you don't wish to defer your fees, you need to pay your fees by the due date.

Higher Education (HE) students who do not pay by the relevant due date may be charged a late penalty of $155. Please make sure you understand the potential outcome of non-payment of your fees.

Note: Census dates correct at time of publication. If a census date falls on a weekend or public holiday you must ensure that you have finalised your enrolment and fees no later than the last working day before the census date. A late payment fee may be applied to your account if you fail to pay on time by the payment due date. Your enrolment may also be impacted. Please check fees for more information.

HE administrative census (for timely amendments)

If you are enrolled in the standard semesters or trimesters you may add units to your enrolment until the end of the second week of semester.

If you are enrolled in a block unit(s), the administrative census date is on the Friday of the first week of each block.

Friday of week 2 of semester (1 and 2 only) is the administrative census date for timely amendments (last day to add units). Students who enrolled online will be able to add units until 11:59pm (23:59) on Friday.

After this time, the system will close for additions. A unit of study amendment form will need to be completed if you require an amendment to your enrolment, and must be approved by your Course & Unit Administrator (CUA).

You may incur a penalty of $155 for failure to meet any published deadline (including but not limited to application for admission, unit enrolment and withdrawal). The general late fee may also be applied for failure to comply with legitimate requests.

You will still be able to withdraw from your units or course until census. After census date, you can still withdraw from your course or unit of study, or apply for intermission until the end of SWOTVAC, but you will remain liable for the fees or incur a HELP loan.

If you withdraw during the exam period, you will receive fail grades and remain liable for the fees or incur a HELP loan.

Post-census enrolment amendment

If you withdraw from a unit after the census date, you will:

  • be liable to pay for any units you were enrolled in and receive a withdrawal
  • incur a HELP debt and lose any up-front payment you made (if you are using VET FEE-HELP or VET Student Loans your limit will be reduced).

You may apply for remission of debt if special circumstances apply.

Deferring your fees – HECS-HELP, FEE-HELP, SA-HELP & VET Student Loan

HE Students TFN submission

You must submit your TFN to VU either via:

  • your online enrolment or
  • by filling out a ‘Request for Commonwealth support and HECS-HELP form’ available at your nearest VUHQ.

VE/TAFE Diploma, Advanced Diploma & Graduate Certificate students TFN submission

To access the VET Student Loan, you must:

  • ensure that your personal email address is updated
  • have your eligibility assessed by Victoria University before census date
  • complete the electronic Commonwealth Assistance Form- eCAF- (if eligible) that will be sent to your personal email address by the relevant census date.

If you don't have a TFN

If you don’t have a TFN and want to defer your fees, you must:

  • apply for a TFN through the Australian Taxation Office (ATO) or participating post office prior to your first census date
  • submit the Request for Commonwealth support and HECS-HELP (if you haven’t already done so)
  • provide Victoria University with your ATO application summary (if enrolled in HE), or attach the document to the electronic Commonwealth assistance form (eCAF*) (if enrolled in Diploma and above) before or by census date
  • submit your TFN to Victoria University within 21 days of receiving it.

Please note: Your TFN cannot be submitted via email or fax.

*eCAF is the online system for eligible students to request a VET student loan.
