Developing and maintaining policies
'Protocols', 'policies' and 'procedures' all overlap. We'll call them all policies here.
Maintaining ICT policies is especially important because the IT contact person is not an IT specialist.
Developing policies
In short: write things down when they happen. DON'T let the perceived need to make them uniform or fit some template stop you from documenting things that happen. The message here is WRITE STUFF DOWN!
For example:
- Our router's passwords is ... .
- Our internet service provider is ... . Their phone number is ... .
- The way we do backup is ... .
- Our hardware replacement policy is ... .
A starting list will be provided in the templates section of this website.
Maintaining policies: some suggestions
- Create a one-page list of all ICT policies. Use hyperlinks (in Microsoft Word) to link to the documents that describe the policies in full.
- Policies need not be filed in a single folder. File them where they are relevant and link to them from your list (as described above).
- Include a filename, author of the policy and a revision date in each policy.
- Write out policies immediately – even if this means disregarding formalities.
- Include unwritten policies in your list – as a reminder to write them later.
