Whether it be a conference, a business meeting, an elegant dinner or stylish cocktail party, look no further as the ANU Commons is the venue for you.

The ANU Commons state of the art conference facilities cater to a wide range of needs, from an intimate cocktail party for 20 in the private courtyard to a full day conference for 300.

The ANU Commons Function room can seat up to 300 delegates theatre style or 200 people banquet style.  This space has the unique ability to open up into one large room or divide into two smaller rooms depending on your individual needs. With glass bifold doors that lead on to courtyards on either side, this venue has an abundance of natural light.

This superior venue has a large function room, which can be divided into two smaller function rooms on request. This ensures the flexibility to cater for everything from intimate dinners, boardroom meetings, conferences, corporate events, large cocktail parties and banquets.

This venue features a large, private courtyard providing an abundance of natural light to the function rooms. The courtyard is the perfect place to wind down after a long day or for pre-dinner drinks and canapés before your special event.

Parking

The ANU Commons is located above the ANU Exchange carpark. This is a paid public carpark, and as such availability is not guaranteed to all delegates however upon request we are able to reserve upto 10 spaces for each function.

Deliveries

  • Delivery time is between 9am – 6pm, Monday – Friday.
  • Please advise of any deliveries that will arrive on weekends.
  • Courier deliveries must be to the ANU Commons Concierge desk.
  • All goods to be  delivered a maximum of 2 days before the event;
  • All boxes must be picked up the day after the event.
  • Please attach the delivery form to all goods being delivered to the site.
  • Please note the ANU Commons will not release any goods to couriers without all information listed below;
  • Name of Company sending goods from the ANU Commons
  • Name of contact sending goods from the ANU Commons
  • Destination of goods
  • Contents of goods, ie Boxes / banners etc
  • Number of goods being collected
  • The ANU Commons will not be responsible for additional couriers should the courier not have all the information.

Conditions

Responsible service of alcohol

The Venue complies with the National Alcohol Beverage Industries Council guidelines on the Responsible Service of Alcohol. The Function staffs are instructed not to serve any alcoholic beverages to guests under the age of eighteen (18) years, or to guests in a state of intoxication.

The Venue’s policy is to serve guests in a responsible, friendly and professional manner. The right to discontinue liquor service is reserved by the Venue.

The Venue will not supply beverages to the table for guests to serve themselves.   All service for beverages will be provided by the wait staff.

For all beverages served on consumption, a consumption report must be sighted and signed off by the Organiser or other party arranged by the Organiser. Should this not be signed, the Venue has the right to charge based on the consumption recorded without dispute.

Occupational health and safety requirements

  1. The Venue cannot allow any of its employees to install or operate any equipment supplied by Organiser or third parties. If the Organiser has hired equipment from an outside firm for use during their function, it is the Organiser’s sole responsibility to install and operate such equipment or arrange for the outside firm to install and operate.
  2. If a function requires the serving of food and drinks into the room being used with the above-mentioned equipment, then the Organiser must sign an indemnity form to hold harmless the Hotel operator, the building owners and Venue staff.

Cancelation policy

Notification of all cancelations is required in writing. The following charges will apply to all cancelations

Security

If the Venue has reason to believe that a group will affect the smooth running of the Venue’s business, security or reputation, it reserves the right to cancel the group, and remove any disruptive individuals.

For the security & safety of your guests one security guard for every 100 guests will be required during any dinner event that where alcohol is consumed.  Costing for this service will be will be provided in your proposal if required.

Responsibility

The Venue does not accept responsibility for damage to or loss of the Organiser’s property left at the Venue prior to, during or after a function. Organisers are financially responsible for any damage sustained to the Venue’s fittings, property or equipment by clients, guests or outside contractors prior to, during or after a function.

Room hire

Room hire charges are applied to all function rooms unless otherwise negotiated and approved. Hire charges are based on the contract time period. Twenty-four hour rental charges are available on application.

Room allocation

The Venue reserves the right to assign another room for the organized function in the event the room originally designated for such function is not available or inappropriate in the opinion of the Venue.

The function space is held for the specified time only.  The venue reserves the right to book other functions into in the same room up to 1 hour before the scheduled function commencement time and 1 hour after the scheduled function finish time.

Additionally the venue reserves the right to book another function in adjoining rooms at any time.

Consumption

The ANU Commons does not accept food or beverage to be bought onto the premises without prior approval.

Final numbers

Final numbers are required in writing no later than 14 business days prior to the event start date.  The confirmed number will be the minimum number charged to your function account.

Credit card payments

Where payment is made by credit card a transaction fee of 1.5% will be applied to the total amount.

Laws and regulations

At no time will the Organiser commit any act or permit its employees, agents, or invitees to commit any act that is illegal, noisome or offensive or is in breach of any statutes, by laws, orders, regulations or other provisions having the force of the law including but not limited to the Venue’s liquor license and fire regulations.

Signage

Nothing is to be nailed, screwed, stapled or adhered to any wall, door or other surface or part of the building. No banners/signage is to be hung from the roof at any time. Signage in the Venues public areas is to be kept to a minimum and must be approved by the Function Manager.

Audio visual

  1. Where the Organiser is supplying and using their own equipment this equipment is to be maintained in a safe manner at all times. All electrical equipment brought on and used at The Venue must be safety tagged to ensure it is safe for operation. Copies of these tags must be provided to The Function manager before their use on this site.
  2. If the Organiser is supplying their own audio visual equipment, including computers and data projectors or hiring from outside the audio visual companies, then the Organiser acknowledges and agrees that:
  1. The Venue because of legal restraints and Work cover safety requirements cannot install or operate said equipment.
  2. The Organiser is totally responsible for all aspects of installing, interfacing and using said equipment.
  3. Under the laws of the Commonwealth if you supply equipment in a public venue for public use you are required by law to prove that the equipment you supplied has been safety inspected and legally ‘tagged’ by a certified electrician that said equipment is safe to operate.
  4. If the equipment you supply does not meet these requirements your public liability insurance cover is void for the event/function.

Release and indemnity

  1. The Organiser releases the Venue from, and agrees that the Venue is not liable for, liability or loss arising from, and cost or expense incurred in connection with damage, loss, injury or death to or of any person or property at the Venue Premises, except to the extent it is caused or contributed to by the wilful or negligent act or omission of the Venue.
  2. The indemnifies the Venue against any claim, action, damage, loss, liability, cost or expense which the Venue incurs or is liable for in connection with:
  1. any damage, loss, injury or death caused or contributed to by the Organiser;
  2. any damage, loss or arising out of or resulting from the booking;
  3. any default by the Organiser under these terms and conditions; or
  4. any fine and penalties which may be occasioned by the Organiser’s breach of any applicable laws relating to the Bookings.
