Heritage Documentation Management System


The Heritage Documentation Management System (HDMS) is a standards-compliant archives collection management system developed and used by the eScholarship Research Centre to manage its archival documentation projects. The Centre also makes this tool available free of charge for non-profit and community organisations who want to use it to manage their own collections.

The HDMS includes a built-in HTML finding aid generator for making the Web publication of guides to collections easier, and also allows for the export of collection data in the Encoded Archival Description (EAD) schema, in XML format.

The HDMS allows users to capture and interrelate structured data at each stage of archival processing:

  • information about the collection as it is transferred in the Accession table;
  • information about the records in the Series and Inventory tables;
  • information about the records creators and/or custodians in the Provenance table; and
  • information relevant to managing ongoing storage, access and use issues associated with the keeping of archives.
