Being a project manager is really a pretty tough job. Every day is stressful because there's a ton of responsibility on your shoulders when you're in charge. And no matter how good the work is, people always remember that one little thing in the project that didn't go right. It's like they don't even notice the thousand things that DID work perfectly!
When you manage a team of people like I do, there are hundreds of tasks that have to be completed for each project, and, honestly, it's impossible to keep track of them all. I'm constantly running around, chasing people down, trying to make sure they're all working on the right tasks. It's extremely stressful. I feel like I spend half my day saying "What are you working on?" to everyone in sight.
And you wouldn't believe how many times when I do ask someone what they're working on, I find out that they're putting all their time into a low priority task -- which just wastes valuable time and leads to more delays in the project. It's frustrating. Sometimes I feel like I need to do everything myself. That's exactly why I have to make sure I'm checking up on the team all the time. I'd really prefer not to do it, because it's time-consuming for me and aggravating for them, especially since it interrupts their work.
I have to admit that sometimes I feel lost. It's hard to keep track of so many tasks. I have times where I don't really know who's working on what. That can keep me up at night. Especially when we are close to a deadline.
Next to "What are you working on?" the second question I catch myself asking people most is "When will it be done?" I have to run a super tight schedule, and I need to know whether or not the project is actually going according to plan. I'm constantly fielding phone calls and emails from clients wondering when the latest feature that they asked for will be ready. You've probably heard this phrase so many times from your clients: "I need an ETA", so for me to keep them up-to-date, I always have to be on top of the progress of the project. And if it's not running on schedule, then I need to have enough time to make changes to the project. There's no question, project managing is a high-stress job.
But fortunately I finally got all that stress to go away when I discovered Elementool's Priority List feature. It gives me laser focused control over the projects and my team.
I can define a unique priority level to each issue. That way I can make sure that people know exactly what to work on at any moment of the day. So I don't have to worry anymore that they're wasting time doing things they're not supposed to.
Sometimes an urgent issue comes in and that means making changes to the project plan and having people stop what they're doing to move on to the new task. The Priority List allows me to makes those updates in just a few seconds on the team's work plan.
I can also see at any given moment the progress of the tasks that each team member is working on, and the date that they'll be completed. In fact, you can wake me up in the middle of the night and I'll be able to tell you who's working on what. It's really brought back the feeling that I'm in control. Now I feel more confident that I can finish my projects on time. When I go home at the end of the day my mind is free and I can play with my little girl and not worry about work.

What makes a great project manager
'Some are born great, some achieve greatness, and others have greatness thrust upon them'.
William Shakespeare was unlikely thinking of project management when he penned 'Twelfth Night', but he might as well have been.
When it comes to the prerequisite skills required to be a great project manager, there are certainly some who are naturally more suited to the role than others. A gift for organisation, for leadership, for communication; all these inherent skills can, and often do, result in great project managers.
However, Ian Bell of Adept Knowledge says in a particularly popular video interview, that the key to successful project management is to know how to get the best out of people.
"People who have a natural bend towards being organised usually make good project managers," Bell explains.
"But they've got to be able to focus people; they've got to be able to direct people; they've got to be able to lead people," he adds.
However, it is not simply about natural attributes. Bell points out that there is knowledge that can only be acquired through proper training. Critical path analysis, earned value, budgeting, scheduling and risk management are just a few of the weapons that a great PM needs to have in his or her arsenal.
What does it mean to be great?
In order to understand what makes a great project manager, it is important to first understand what is meant by the term 'great'.
A great project manager is someone who is likely to deliver consistent project success. Someone who can deliver a project that exceeds the business's mandate on time and on budget.
Conversely, a bad project manager can cost a company untold amounts. For organisations which rely on the continued success of major projects, the PM is one of the single biggest factors in determining the outcome.
Managing from the middle
Good project management requires a careful balancing act, taking into account, not only the project but the people involved with the project. A PM has to be able to juggle the needs of the stakeholders with the needs of the team, Bell says.
"How do you manage up the way, to the board? What do they need to know? How do you manage down the way, to the rest of your team? It's a huge balancing act," he explains.
The consultant says that there are some other traits which can come in useful too. As the driving force behind a project, a great PM has to be unrelenting in their pursuit of results and this requires a certain mental attitude.
"You might have to be slightly arrogant. You've got to believe that you are right," Bell half jokes, adding that a little bit of ego won't hurt either.
Achieving greatness
Certainly, there are natural project managers amongst us; they are born great. The good news is that for those who already have the soft skills in place, with the right training, experience and attitude, they too can achieve greatness.

Being a project manager is really a pretty tough job. Every day is stressful because there's a ton of responsibility on your shoulders when you're in charge. And no matter how good the work is, people always remember that one little thing in the project that didn't go right. It's like they don't even notice the thousand things that DID work perfectly!
When you manage a team of people like I do, there are hundreds of tasks that have to be completed for each project, and, honestly, it's impossible to keep track of them all. I'm constantly running around, chasing people down, trying to make sure they're all working on the right tasks. It's extremely stressful. I feel like I spend half my day saying "What are you working on?" to everyone in sight.
And you wouldn't believe how many times when I do ask someone what they're working on, I find out that they're putting all their time into a low priority task -- which just wastes valuable time and leads to more delays in the project. It's frustrating. Sometimes I feel like I need to do everything myself. That's exactly why I have to make sure I'm checking up on the team all the time. I'd really prefer not to do it, because it's time-consuming for me and aggravating for them, especially since it interrupts their work.
I have to admit that sometimes I feel lost. It's hard to keep track of so many tasks. I have times where I don't really know who's working on what. That can keep me up at night. Especially when we are close to a deadline.
Next to "What are you working on?" the second question I catch myself asking people most is "When will it be done?" I have to run a super tight schedule, and I need to know whether or not the project is actually going according to plan. I'm constantly fielding phone calls and emails from clients wondering when the latest feature that they asked for will be ready. You've probably heard this phrase so many times from your clients: "I need an ETA", so for me to keep them up-to-date, I always have to be on top of the progress of the project. And if it's not running on schedule, then I need to have enough time to make changes to the project. There's no question, project managing is a high-stress job.
But fortunately I finally got all that stress to go away when I discovered Elementool's Priority List feature. It gives me laser focused control over the projects and my team.
I can define a unique priority level to each issue. That way I can make sure that people know exactly what to work on at any moment of the day. So I don't have to worry anymore that they're wasting time doing things they're not supposed to.
Sometimes an urgent issue comes in and that means making changes to the project plan and having people stop what they're doing to move on to the new task. The Priority List allows me to makes those updates in just a few seconds on the team's work plan.
I can also see at any given moment the progress of the tasks that each team member is working on, and the date that they'll be completed. In fact, you can wake me up in the middle of the night and I'll be able to tell you who's working on what. It's really brought back the feeling that I'm in control. Now I feel more confident that I can finish my projects on time. When I go home at the end of the day my mind is free and I can play with my little girl and not worry about work.

What makes a great project manager
'Some are born great, some achieve greatness, and others have greatness thrust upon them'.
William Shakespeare was unlikely thinking of project management when he penned 'Twelfth Night', but he might as well have been.
When it comes to the prerequisite skills required to be a great project manager, there are certainly some who are naturally more suited to the role than others. A gift for organisation, for leadership, for communication; all these inherent skills can, and often do, result in great project managers.
However, Ian Bell of Adept Knowledge says in a particularly popular video interview, that the key to successful project management is to know how to get the best out of people.
"People who have a natural bend towards being organised usually make good project managers," Bell explains.
"But they've got to be able to focus people; they've got to be able to direct people; they've got to be able to lead people," he adds.
However, it is not simply about natural attributes. Bell points out that there is knowledge that can only be acquired through proper training. Critical path analysis, earned value, budgeting, scheduling and risk management are just a few of the weapons that a great PM needs to have in his or her arsenal.
What does it mean to be great?
In order to understand what makes a great project manager, it is important to first understand what is meant by the term 'great'.
A great project manager is someone who is likely to deliver consistent project success. Someone who can deliver a project that exceeds the business's mandate on time and on budget.
Conversely, a bad project manager can cost a company untold amounts. For organisations which rely on the continued success of major projects, the PM is one of the single biggest factors in determining the outcome.
Managing from the middle
Good project management requires a careful balancing act, taking into account, not only the project but the people involved with the project. A PM has to be able to juggle the needs of the stakeholders with the needs of the team, Bell says.
"How do you manage up the way, to the board? What do they need to know? How do you manage down the way, to the rest of your team? It's a huge balancing act," he explains.
The consultant says that there are some other traits which can come in useful too. As the driving force behind a project, a great PM has to be unrelenting in their pursuit of results and this requires a certain mental attitude.
"You might have to be slightly arrogant. You've got to believe that you are right," Bell half jokes, adding that a little bit of ego won't hurt either.
Achieving greatness
Certainly, there are natural project managers amongst us; they are born great. The good news is that for those who already have the soft skills in place, with the right training, experience and attitude, they too can achieve greatness.

What makes a great project manager
'Some are born great, some achieve greatness, and others have greatness thrust upon them'.
William Shakespeare was unlikely thinking of project management when he penned 'Twelfth Night', but he might as well have been.
When it comes to the prerequisite skills required to be a great project manager, there are certainly some who are naturally more suited to the role than others. A gift for organisation, for leadership, for communication; all these inherent skills can, and often do, result in great project managers.
However, Ian Bell of Adept Knowledge says in a particularly popular video interview, that the key to successful project management is to know how to get the best out of people.
"People who have a natural bend towards being organised usually make good project managers," Bell explains.
"But they've got to be able to focus people; they've got to be able to direct people; they've got to be able to lead people," he adds.
However, it is not simply about natural attributes. Bell points out that there is knowledge that can only be acquired through proper training. Critical path analysis, earned value, budgeting, scheduling and risk management are just a few of the weapons that a great PM needs to have in his or her arsenal.
What does it mean to be great?
In order to understand what makes a great project manager, it is important to first understand what is meant by the term 'great'.
A great project manager is someone who is likely to deliver consistent project success. Someone who can deliver a project that exceeds the business's mandate on time and on budget.
Conversely, a bad project manager can cost a company untold amounts. For organisations which rely on the continued success of major projects, the PM is one of the single biggest factors in determining the outcome.
Managing from the middle
Good project management requires a careful balancing act, taking into account, not only the project but the people involved with the project. A PM has to be able to juggle the needs of the stakeholders with the needs of the team, Bell says.
"How do you manage up the way, to the board? What do they need to know? How do you manage down the way, to the rest of your team? It's a huge balancing act," he explains.
The consultant says that there are some other traits which can come in useful too. As the driving force behind a project, a great PM has to be unrelenting in their pursuit of results and this requires a certain mental attitude.
"You might have to be slightly arrogant. You've got to believe that you are right," Bell half jokes, adding that a little bit of ego won't hurt either.
Achieving greatness
Certainly, there are natural project managers amongst us; they are born great. The good news is that for those who already have the soft skills in place, with the right training, experience and attitude, they too can achieve greatness.

Greta Blash has extensive experience as an executive and consulting IT professional, both domestically and internationally. Her areas of experience include program management, project management, agile scrum development with emphasis in the areas of system implementations and conversions, customer relationship management, data warehousing and business intelligence.
She is a certified project manager whose extensive experience enables her to concurrently manage multiple high-risk, high-tech projects. She also holds an agile certification and business analysis certification from Project Management Institute (PMI), the world’s leading professional association for the project, program and portfolio management profession.
Greta has taught project management certification courses worldwide for the last five years. In addition to project management professional and certified associate in project management certification examination preparation courses, she has also taught preparation courses for business analysis and agile certification programs. As a visiting professor at DeVry/Keller in Nevada, she taught the Master of Project Management program, a Global Accreditation Center-accredited program from PMI.
Greta has served as vice president of education and programs at PMI’s Southern Nevada Chapter in Las Vegas, Nevada. She has been the academic outreach liaison for PMI Region 7 since 2012.

Project management is a discipline that is in great and ever-increasing demand—across all industries and at business organizations of all sizes. It is so ubiquitous now that it has evolved from a specialized technical skill to a life skill.
Despite its wide proliferation, there remain key concepts that apply to all projects, regardless of size or budget. In this lecture, Greta Blash will outline these key principles to help attendees understand what is involved in successfully managing a project, from initiating and planning, to monitoring and controlling the effort, and, ultimately, to the final completion of the project.
This lecture will be a special presentation of CalSouthern’s Master Lecture Series brought to you in partnership with The Project Management Institute’s Orange County chapter.
