Sponsorship and Finances Weekly Report for May 27
Here’s that weekly update on the payments and income for WordPress community events that we post on Fridays. This report might get more elaborate as we get the time to build more tools around financial reporting (currently it’s quite manual), so if there’s a level of detail we’re not providing that you’d like to see, please mention it in the comments!
Between May 20 and May 26, here’s what came in:
Ticket revenue via PayPal:$11,514.99 USD (total tickets 259)
Sponsorship income via wire transfer: $61,438.52 USD
Sponsorship income via check: $4,500.00 USD
Sponsorship income via PayPal: $3,913.60 USDTotal revenue (in USD): $81,367.11
And in that same period, here’s what went out:

Outreachy update
The summer term of Outreachy has begun, and I’m pleased to announce that we’ll be working with Elena Petrashen (@epetrashen) through August 23, 2016! Elena will bring her professional experience with instructional design to a learning-related project for the Community team that I’m pretty excited about.
The Project: Community Organizer Self-Training
Participation in WordPress community organizing efforts continues to grow, which is amazing and wonderful and everything we want. That said, helping new volunteer organizers learn our methods is incredibly time-consuming. We can just keep telling people “read the handbook” over and over, but just because someone reads some documentation doesn’t ensure they 1) understood everything, and 2) know the parts that are really important to the program.
So Elena’s going to work with me on designing three self-training courses based on our handbooks: one for deputies, one for WordCamp organizers, and one for meetup organizers (I promise we’ll have some material in that meetup organizer handbook in a week or so)! The courses will be self-serve and will include quizzes, so people can test their understanding of the materials. There won’t be a certificate at the end — just the confidence that you’ve attained mastery over our team’s community organizing knowledge base. I’m kind of incredibly excited about this; it might be the key to helping a bunch more people feel confident in their organizing work. 🙂

WordCamp Incubator locations announcement
I’m very happy to announce that we have identified the locations for the WordCamp Incubator program — and I’m particularly pleased to announce that we’ve been able to select *three* incubator locations, due to the additional of another deputy to the program. Thanks for volunteering, @hlashbrooke! 🙂
The communities which will host a WordCamp Incubator this year will be:
Denpasar, Indonesia — working with Rocio Valdivia
Harare, Zimbabwe — working with Hugh Lashbrooke
Medellín, Colombia — working with Andrea Middleton
The other locations that were short-listed have been encouraged to explore the idea of organizing a local meetup group and/or WordCamp in their communities, and have been promised extra help from mentors (like @adityakane, @savione, and @gounder) if they are interested in giving it a shot. Colombo, Sri Lanka and San Jose, Costa Rica have since applied to organize a WordCamp this year, and we hope to hear from a few more groups on that list! 🙂
A rough outline of how this will go (we think):
Denpasar, Harare, and Medellín will work with their respective deputies to start a monthly WordPress meetup group or add their existing meetup group to the chapter account program. Once the local WordPress user group is meeting regularly, each team will work on finding a venue, setting a date, recruiting speakers, and spreading the word about the upcoming WordCamp. I’m thinking all three of these events will happen in the last quarter of 2016, but that’s flexible based on the preferences and needs of each local community.
Each organizing team will meet with their deputy on a biweekly basis. The deputy will act as a sort of a project manager and mentor for the local team, training them to organize a WordCamp and following up on their progress regularly. Deputies who are mentoring incubator WordCamps will report the progress of their teams on a biweekly Incubator Update thread that I’ll initiate here.
In addition to the extra-extra support we’ll provide to the local team around keeping on schedule and thinking of All The Things, we’ll help them find speakers and sponsors. Our goal will be to feature no more than 3 non-local speakers at each event. As for sponsorship, the global sponsorship grant for these events will cover 100% of the event’s fundraising needs, so that organizers don’t need to spend much time drumming up sponsorship. We’ll accept local sponsors of course, but incubator events won’t be given a local fundraising goal that they need to meet.
As a reminder, the goal for these events is to organize an easily reproducible, one-day, one-track event with about 50-75 attendees. Hopefully by the end of the organizing/incubating experience, members of the local community will feel confident that they can organize an annual WordCamp independently in the years to come.

We’re very excited to be part of team for WordCamp Bali (Denpasar). The news was very well received when we made the announcement last night at our meetup session. Already there’s a list of people eager to lend a hand and contribute.
