Data entry (or word processing operators), are responsible for producing, typing, editing and printing documents using computers with word processing software and printers. There are different types of operators. Audio Transcript Typists produce transcripts direct from audio recordings of lectures, medical reports, court and parliamentary hearings, arbitrations, tribunals and business conferences. Data Processing Operators transfer information into databases using computers. They work in many various sectors of industry like banking and finance, retailing, education, manufacturing and government. Offline Captioners generate captions (subtitles) for pre-recorded TV programs and films. When the program eventually goes to air the captions which were embedded in the recording are automatically transmitted to the audience.
Operators will usually spend most or all of their time performing word processing work. They may work alone or in a team along with other operators. If you are considering a data entry role then you must be prepared for repetitive work. Supervisors in the industry will direct operators to take regular breaks from typing to try and minimise the occurrence of RSI (repetitive strain injury) in their hands, wrists and arms.
Operators are required to set out the format necessary for their typing including aspects like line spacing, page length and width and font. They will then need to type and place information in the correct fields. This may include rearranging text by using rows, columns or text boxes, moving text from one page to another or highlighting particular parts of text. In some cases data may need to be transferred from audio recordings into reports or letters, or mail merge functions may need to be set up to personalise and direct multiple letters.
