Products This option allows you to access the stock master files. Here you maintain all the details about the products. Go to the Stock Menu, select Master Files sub-menu and then click on Products. Here you can add, edit, delete and print preview of the products. Click on the appropriate push button you wish to use. If you want to simply exit from the stock master file screen click on close button. It is very easy to find the product among thousands of products by typing product name anywhere in the window. Add New Product To add new Product click on new button. Stock Code: Enter the Stock Code for the stock item. This code may consists of alpha-numeric characters. Barcode: Enter the barcode stock item. Description: Enter the Description of the stock item here. Block: This quantity is added to when sales orders are raised. It is reduced when a Sales Order is converted into an invoice or deleted. Supplier: The Supplier Code is displayed here to which the Supplier belongs. The Supplier Code must exist in the Supplier Master File. The system caters for multiple Supplier. To access the Supplier Master File you need to go to the Supplier Menu, select the Master Files and click on Supplier option. Department: Stock items may be categorized into departments. Select the Department Code to which the stock item belongs. The Department Code must exist on the Department Master File. To access the Department Master File go to Stock Menu, select Master File sub-menu and click on the Departments. Sub-Department: Items may be categorized into sub-departments of the main department. Enter the Sub-department code if any exist. Vat Rate %: Select the required option from the list box. This indicator refers to the VAT rate allocated to the stock item. The VAT Rate must exist on the Tax Rates Master File. To access the Tax Rates Master File go to the System Main menu and click on Tax Rates. Cost Exclusive: Enter the Cost Price for the product excluding VAT Cost Inclusive: The Cost Price of the product including VAT will be calculated and displayed here. Extended Description: Note This description will not printed on invoices. Product Image: By clicking right mouse button on empty and click on load. Click on load and select the picture. Special Notes: Enter the Special Notes about the product. Units Per Pack: This is the cost or selling price per relation. This is normally set to 1.00. You can amend as required. Units Of Issue: This refers to the number of items per pack. This information is used by the pack split program when breaking down packs of items into smaller units. This is normally set to 1.00. You can amend as required Weight: The Weight of an item if applicable should be entered in this field. Shelf Number: Enter the Shelf Number or Aisle Number of the item. Onhand: The quantity of the Stock Onhand will be displayed. This information is only updated during the processing of transactions and cannot be amended while updating the stock details. Back Orders: The outstanding quantity is shown on back orders. This quantity is updated during the debtors invoicing and back orders process. Min. Level: Enter the Maximum level as set for this product. Max. Level: Enter the Minimum level as set for this product. Price A,( Price B, Price D, Price E and Price F) Price A Exclusive: This price of the item is exclusive of Tax. This field may be left blank when creating an item. This price will then be updated and calculated from the VAT inclusive price. Price A Inclusive: This price of the item is inclusive of Tax. This field may be left blank provided that the exclusive price is entered. The price will then be calculated and updated from the VAT exclusive price. Gross Profit: This field shows the gross profit on a item after the sales process. This is calculated by the system. This is the difference between the Cost price and the Exclusive price expressed as a percentage (%) of the Selling price. Markup %: The Markup % is calculated by the system. This is the difference between the Cost and Exclusive price expressed as a percentage of the Cost Price. GP %: The Gross Profit % is calculated by the system. This is the difference between the Cost and Exclusive Price expressed as a percentage of the Selling Price. Discount: Enter the discount here in this field. Items discounts may be set on the Stock File. • No = No discount is allowed for this item • Cash = Cash discount • Percentage = Percentage discount Discount Value: Enter the Value of the discount here in this field.
